Care Signature - Privacy Policy

This policy describes how Care Signature (“the add-on”) accesses, uses, stores, and shares information when you use it within Google Docs.

Who we are

The add-on is provided by Care Human Services for authorized users in our organization. Questions: it@carehelps.ca.

What is exposed

The following may be visible to others only in the ways described below. Nothing is sold, used for advertising, or sent to non-Google third-party services.

• Signature image in a document you insert into - When you click Insert or replace a placeholder, your saved signature or initials are placed in that Google Doc. Anyone who can view or edit that document can see the inserted image, the same as any other content you add to the doc.
• Document sharing you control - If you share the doc with colleagues, export it to PDF, or attach it to email, the inserted signature travels with that document. This is under your sharing choices, not automatic add-on disclosure.
• Your Google account identity (to Google and add-on maintainers) - Google associates your saved signature with your signed-in account. Apps Script project editors with access to the script may view execution logs (timestamps, errors) in the Google Cloud / Apps Script console; logs are for troubleshooting, not routine review of signature images.
• Insert-position metadata in the current doc - Paragraph index, cursor offset, and a named range (CARE_SIG_INSERT_POINT) may be written to that document’s properties to help place the next insert. This is technical positioning data, not your signature image.

What is not exposed

The add-on is designed so your saved signature stays private to your account until you choose to insert it.

• Your saved signature and initials - Stored in your Apps Script User Properties. Other users, document collaborators, and Care Human Services administrators cannot open, browse, or download your saved signature from the add-on.
• Other people’s signatures - You cannot access another user’s saved signature. Each account has its own storage.
• Other Google Docs - The add-on uses the documents.currentonly scope. It does not read or modify documents you do not have open.
• Your Google Drive files - The add-on does not request Drive file access. Signatures are not saved to Drive folders.
• Document body text - The add-on does not read, index, or transmit the text of your document except to insert an image where you request (or replace {{MY_SIGNATURE}} / {{MY_INITIALS}} placeholders you trigger).
• Gmail, Calendar, Chat, or other Workspace apps - Not accessed.
• External servers operated by Care Human Services - No separate Care Human Services database or API receives your signature. Processing runs in Google Apps Script on Google’s infrastructure.
• Marketing, analytics, or advertising use - None.

Information the add-on accesses

• Your Google account email - to identify your account and store your personal signature data under your user profile only.
• The current Google Doc - only the document you have open, to insert your signature or initials at your chosen location or replace placeholders you trigger.
• Fill & Sign (optional) - if you use Fill & Sign, the add-on saves a copy of the document and sends it to Care Signature so others can fill fields and sign. My Signature alone does not need this extra permission.
• Signature images you create - drawn, typed, or uploaded by you in the add-on panel.

How we use information

• Save your signature and initials so you can reuse them.
• Insert those images into the document at your request.
• Display the add-on sidebar and homepage card in Google Docs.

We do not use your data for advertising, sell your data, or use it for purposes unrelated to providing the add-on.

How data is stored

• Your saved signature and initials are stored in your Google account User Properties (Apps Script per-user storage). They are not shared with other users.
• Insertion position hints for the current document may be stored in Document Properties for that doc only.
• We do not operate a separate server database for signature images.

Data sharing

Your saved signature data is not shared with Care Human Services administrators or other users. The only sharing is what you cause by inserting an image into a document and then sharing that document yourself. Google hosts the add-on and underlying Google Workspace services under Google’s terms.

The add-on fetches a public brand logo from Google Drive (read-only URL) to display in the panel. No user signature data is included in that request.

Retention and deletion

• Replace your saved signature or initials anytime by creating and saving a new one in the add-on panel.
• Removing the add-on or revoking its access stops future use; stored User Properties may remain until cleared by Google account policies.
• Images already inserted into documents remain in those documents unless you remove them.

Google API Services User Data Policy

Care Signature’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Changes

We may update this policy. The “Last updated” date at the top will change when we do.
